Privacy Notice

1. Responsible party
Folio Press (Pty) Ltd (registration 2026/386865/07), of 570 Fehrsen Street, Brooklyn, Pretoria, 0181, South Africa, is the responsible party for personal information processed through https://foliopress.co.za. We process personal information in accordance with POPIA and the eight conditions for lawful processing it sets out.
2. Information we collect
We collect and process the following categories of personal information:
- Order information — your name, email address, order details, and order reference (which is embedded as a watermark in delivered files).
- Enquiry information — your name, email address, organisation, telephone number (if you choose to provide it), and the content of your message when you contact us or submit an institutional enquiry.
- Marketing information — your email address, where you opt in to receive updates about the series.
- Technical information — limited information generated when you use the site, such as your IP address and basic request logs, used for security and to operate the service.
Our payment partner, PayFast, collects and processes your payment information directly. We do not receive or store your card or banking details.
3. Purposes and lawful basis
We process your personal information for the following purposes and bases:
- To perform our contract with you — processing and fulfilling orders, delivering downloads, and providing support.
- To comply with the law — keeping accounting, tax, and transaction records as required.
- For our legitimate interests — responding to enquiries, securing the site, preventing fraud, and protecting our rights.
- With your consent — sending you marketing updates where you have opted in. You may withdraw consent at any time (see clause 7).
4. Recipients and operators
We share personal information only with the service providers (“operators” under POPIA) necessary to operate the store, under appropriate confidentiality and security obligations:
- PayFast — payment processing.
- SendGrid — delivery of transactional and (where opted in) marketing email.
- Our hosting and infrastructure providers — operating the website and database.
We do not sell your personal information.
5. Cross-border transfers
Some of our operators (for example, our email delivery and hosting providers) may process personal information on servers located outside South Africa. Where this happens, we transfer information in accordance with section 72 of POPIA — that is, the recipient is subject to laws, binding rules, or agreements that provide an adequate level of protection comparable to POPIA, or the transfer is necessary to perform our contract with you or at your request.
6. Security safeguards
We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, and misuse — including encrypted connections (HTTPS), access controls, and the use of reputable service providers. No method of transmission or storage is completely secure, but we work to maintain appropriate safeguards.
7. Direct marketing and your consent
We send marketing communications only where you have opted in. In line with section 69 of POPIA, every marketing email includes a simple way to unsubscribe, and you can opt out at any time by using that link or by emailing info@foliopress.co.za. Opting out of marketing does not affect transactional emails relating to your orders.
8. Retention
We keep personal information only for as long as necessary for the purpose it was collected, or as required by law. As a guide: order and transaction records are retained for at least five years to meet accounting and tax obligations; enquiry correspondence is kept for as long as needed to deal with the matter and a reasonable period thereafter; and marketing subscriptions are kept until you opt out. We delete or de-identify information once it is no longer required.
9. Cookies and analytics
We use only the cookies necessary for the site to function, such as maintaining your cart and session. We do not use third-party advertising cookies. If we introduce analytics in future, we will update this notice accordingly.
10. Your rights
Under POPIA you have the right to:
- request access to the personal information we hold about you;
- request that we correct or delete information that is inaccurate or no longer required;
- object, on reasonable grounds, to the processing of your information; and
- withdraw consent where processing is based on consent.

11. Data breaches
Where a security compromise affects your personal information, we will notify you and the Information Regulator as soon as reasonably possible after becoming aware of it, as required by section 22 of POPIA.
